Step by step #

  1. In Cal.com, click your profile picture, then Settings, then Developer, then API keys. Create a new key and copy it.
  2. Here in NovaReps, open Calendars in the left menu and click Cal.com.
  3. Paste the key into Cal.com API key and click Save key. You will see "Cal.com connected" and your Event Types will appear in the list below the key.
  4. Open the agent you want to book appointments, go to its Calendar tab, and choose Cal.com as the provider.
  5. In Cal.com Event Type, pick the Event Type the agent should book into, such as "30 Min Consultation". The list comes straight from your Cal.com account.
  6. Save the agent. The Connection Status under the Event Type shows Fully Connected when everything is ready.

If you have not created an Event Type yet, create one in Cal.com first. In Cal.com, click Links in the left menu (not Events, which only lists bookings), then create a new one.

What is set where #

  • In Cal.com, on the Event Type: appointment length, buffers between meetings and the calendars that block time. For that reason Appointment Length and Buffer are not shown for Cal.com agents.
  • In NovaReps, on the agent: minimum notice, daily cap, business hours, holidays and what the AI asks callers.

Customer email and your own questions #

Cal.com needs an email address for every booking and sends the confirmation there. The AI asks each caller for their email, spells it back to confirm and passes it to Cal.com. If a caller declines, the booking is still made with a phone-only placeholder address, so no confirmation email is sent for that booking.

If you added your own questions to the Event Type in Cal.com (for example "Company name"), the AI asks the caller for them before booking. Questions marked required in Cal.com are required for the AI too. Changes you make to an Event Type in Cal.com can take a couple of minutes to reach your agent.

Changing or cancelling on the same call #

A caller can ask the AI to reschedule or cancel the appointment it just booked on that same call. The AI can only change that one booking. It cannot look up, change or cancel anyone else's appointment, and it cannot change a booking made on an earlier call.

Good to know #

  • Different agents can use different Event Types on the same Cal.com account.
  • Each business needs its own Cal.com key. Appointments always land on the account the key belongs to, so managed clients add their own key and do not use their reseller's.
  • To disconnect, open Calendars, then Cal.com, and click Remove next to the key. Agents using Cal.com stop booking until a key is added again.
